Firestone Financial - Executive Assistant

Provides a wide range of highly confidential, administrative, technical and analytical support to the members of executive management team and the VP, OD, Talent & Recruiting. Ability to work in a very busy environment and juggle multiple priorities while often handling sensitive, confidential information.  Assists in the planning and implementation of and helps to execute process improvements in all administrative matters as applicable.


Key Accountabilities:


Provides operational, administrative, technical and analytical support to Firestone executive management team.  Includes but not limited to, analyzing data, composing correspondence and memos, typing documents, creating reports, preparation of materials for presentations, scheduling meetings, etc,  Supports various initiatives such as annual budget process etc.

Prepares quarterly reporting package for Board of Directors Meeting.

Supports the President/CEO of Firestone: maintains calendar and meeting schedule, completes monthly expense report accounting, makes travel arrangements and performs other administrative duties as assigned.

Assists in employee on-boarding, including conducting payroll employee orientation, preparing new employee logistics, etc.

Handles compensation administration and recordkeeping, including keeping data up-to-date and accurate, and creating and developing reports tracking budget to actual expenses.

Monitors the payroll function, including all record changes and updates to insure accuracy and completeness

Supports Performance Management process at Firestone.

Assists in recruitment activities, including greeting applicants as needed, tracking responses to advertising, and forwarding resumes to hiring managers.

Other duties as required.

Ensures compliance with all banking laws, rules, regulations, and prescribed policies/practices/procedures necessary to reduce risk and uphold ethical standards related to and required by one’s duties.




Bachelor’s Degree or Associate’s Degree with 2+ years of equivalent relevant experience, or High School Degree with 4+ years of equivalent relevant experience.




Minimum of 3 years prior experience successfully working as the primary support for Executive Level managers.

Skills & Knowledge:


Excellent oral and written communication, interpersonal, prioritization, time management, and problem solving skills.

Expertise in MS Office programs such as Word, Excel, and Outlook.

Track record of thorough attention to detail and completing of work on time and with high quality in a fast paced environment.

Demonstrated history of exhibiting sound judgment, understanding the business implications of decisions, and maintaining confidentiality.

Strong customer service orientation and professionalism.

Highly dependable and punctual, with the ability to identify and suggest improvements.
